Make Instant Messaging Work for Your Team

Whether you’re in an office or working remotely, instant messaging tools like Slack, Microsoft Teams, and Zoom can be invaluable. There’s just one problem: We’re still figuring out how to properly, and professionally, communicate via IM. These platforms can be distracting, and they can inadvertently reinforce communication silos when teams accustomed to one platform don’t connect with others who use a different one. So pick a platform, clearly define expectations and reiterate them over time. Respect work-life balance by creating norms around appropriate response times. Encourage people to sign off IM tools and to respect others’ out-of-office status messages. Explain that requests should come with information about when answers are needed, and that most conversations should happen during the workday and be kept short and to the point. And don’t let text entirely replace other forms of interaction. Even if you can’t be in the office together, you can encourage people to pick up the phone or turn on video conferencing to connect with one another.

Fatah Panji Firmansyah (2001579780) This article argues that instant messaging platforms are very helpful at times like this but there must be norms that are considered such as only communication with IM when workday and not too long so just deliver directly to the point because if it takes too long it will be ineffective.

However, using IM must be in accordance with the provisions or regulations such as communicating on weekdays and making a short or direct point, this can reduce costs and time spent on ineffective activities.

Instant messaging is very useful to a company, it enables companies to schedule sessions, build reports and submit and receive applications online without having to fly to other offices, but with Instant Messaging sometimes the employee forgets about interaction with others besides of online meeting. You can use instant messaging but don't let instant messaging replacing other forms of interaction.

I think it's very important to pay attention to the right time when you want to contact someone using IM, not everyone always holds their smartphone for almost 24 hours a day. Try to always contact someone during office hours and try to understand if the message isn't replied right away at that moment.
